Guideline for allGeo EVV Clients (Sandata)

Instructions For Payroll Managers:

A. The office / payroll manager would provide the following details to setup the Company account on allGeo:

  1. Adding Caregivers / Employees: allGeo would need the following details per employee:

> Phone#

> SSN Number

  1. Client (jobsite) Setup: allGeo would need the following details per client:

> Client First Name & Last Name

> Client Address

> Client Medicaid ID

> Client Payer Name

> Client Jurisdiction ID

  1. Service (task) Setup: allGeo would need the following details per service:

    > The required details are (1) Service type name & (2) Service Code.
    > Assign the relative payer info to each task.

  1. Payer Information: allGeo would need the following Payer details & this has to be set up under EVV Settings.

> Payer Name

> PayerID

> Procedure Codes

> Modifiers 1 & 2

B. How to review or edit the visits in the allGeo system?

The authorized Business Manager can edit visit records only if the employee has completed the visit, but failed to properly record tasks OR forgot to clock in or clock out. All edits must be verified and signed-off by the Business Manager for EVV compliance. These changes will be recorded and available for Audit purposes.

p.s. Manual Entry: Visits entered manually (without evidence of actual client visit) cannot be uploaded to Sandata for compliance reasons.

C. How can you upload the visits to Sandata?

  1. Prior to visit record submission to Sandata, both staff (employees) and client (jobsite) information must be on file. Records may be submitted on a weekly, bi-weekly, or monthly basis, as required.

Instructions For Field Employees:

A. EVV Compliance Requirements:

To ensure accurate visit tracking for employees, the following must be adhered to:

  • Location Permissions: Employees must have location permissions enabled for the allGeo app on their phone devices.

  • Visit Recording: Employee visits need to be recorded either through the allGeo app or by using the allGeo Telephony service (IVR).

B. How to Clock In or Clock Out using allGeo Mobile app:

Upon arriving at the client's location, caregivers should start their shift by opening the allGeo application and selecting the designated Client and Task. Subsequently, they can start their shift by clicking 'Start Shift' and end their shift by clicking 'End Shift'.

The steps are as follows:

  1. Open the allGeo application.

  2. Go to Timeclock.

  3. Select Client (patient).

  4. Select Task (Service).

  5. Click on Start Shift in order to start your shift.

  6. Record Breaks as needed.

  7. Click on End Shift in order to end your shift.

C. How to Clock In & Out using Telephony / IVR (Interactive Voice Recording):

When the caregivers do not have the allGeo app installed on their smartphone they can record the punches via the allGeo Telephony service (i.e. using the Client’s local landline to call in to start shift / end shift).

The caregiver will visit a client site to provide the service.

Step 1: Upon arrival at the client’s site, they can use the local landline (at the client’s home or clinic) to call a designated allGeo phone number.

Step 2: The voice recording would prompt the user to enter their Employee ID and Task Code and then enter the code to Start Shift.

Step 3: When the visit is completed, the caregiver can call the allGeo phone# from the Client’s landline and punch in the code to End Shift.

p.s. The client landline that is used to call in to Start Shift / End Shift has to be authorized and preconfigured against a client’s profile (client geofenced site).
